Adding your Company

The first thing you will need to do in Clarity365 will be to add your company. Please follow this step by step guide to find out how to do this. Please note that any field marked with an '*' are mandatory and must be filled in before you can save your company in Clarity365.

 

Business Details

1. Enter your business's name and the type of business in the fields indicated

2. If you are a limited company, please enter your business's Registration Number and Date of Incorporation

3. Enter a short description of the type of business you own - e.g. 'We provide simple timesheet and expense software'

4. Enter a Security Reset Word - alternatively you can use the one provided

 

Address Details

You will then be asked to fill in your company's address details. To do this, please follow the guide below.

1. Start typing your address into the Type Address Details field - by selecting the Use Lookup option, Clarity365 will start to automatically generate potential address for your business based off the information you have provided

2. You may use the Use Lookup feature to automatically fill in your address details or you may manually input your address

 

Additional Information

You must also register some additional information about your business before using Clarity365.

1. Enter your company's website address

2. Enter the Director of your company's National Insurance and Date of Birth into the correct fields

3. Enter the SIC codes for your business - these are Standard Industrial Classification codes that the government uses to identify the industry that applies to your company

4. Enter the Fiscal start date and Annual Tax Return date for your company

5. Enter your business TAX and PAYE References

6. You may also enter your Public Liability Insurance

7. Enter the base currency that you wish to use in Clarity365 - the British Pound will be selected by default

8. Enter the VAT rates that apply to your business

 

Uploading Files

You can upload files to Clarity365 that apply to your business. You may upload your company logo, the Company Incorporation certificate and public liability insurance documents to Clarity365 - these files will be encrypted and secured so that only the owner of the company may access these files.

 

VAT Details

You must also include the VAT details for your business. To find out how to do this, please follow the guide below.

1. If you are VAT registered you will need to declare this on Clarity365 - if you are not VAT registered, you will only need to declare anticipated annual turnover

There are several UK Government enforced reasons why your business may need to be VAT registered. To find out more information on VAT registration, please click here.

2. Please enter your VAT information and anticipated annual turnover in the relevant fields

3. If you are part of the UK Government Flat Rate Scheme, you must declare this and the details of your flat rate

4. You may upload your VAT Certificate to Clarity365 - this will be securely stored within the vault and will be encrypted to ensure that only the owner will have access to this file

 

Bank Details

You may also want to add your company's bank information - this is optional but will improve your Clarity365 experience and streamline some processes. To find out how to add your bank's details, please follow the guide below.

1. Enter your bank's name, sort code and account number

2. Click Save to submit these details into Clarity365

 

Once you have clicked Save, you will have successfully created your company in Clarity365 and all the information you have inputted will be stored for you. You will then be able to start using the system straight away. The first thing you will need to do is create your default settings, including default working hours and days, default charge rates and default user, customer and absence settings. Please note, you are able to edit your company details in Clarity365 at any time by navigating to Main Navigation > Administration and clicking Edit Company Details on the Company Details tab. For more information, please click here.
