Authorise a Batch Entry Timesheet

Batch authorisation follows a two-step process for Authorisation. Batch Managers will add time for their employees by proxy and authorise the weekly Batch. Batch Administrators, Process Administrators and Company Owners will then Settle the Batch, which marks the time as paid. Managers will not be able to see Authorised time in their Summary – only Batch Administrators, Process Administrators and Company Owners have access to this information.

Please note, the batch must be assigned for Internal Approval.

Authorising a Batch (Manager)

  1. Go to Main Navigation > Batch Entry > Summary
  2. Filter by Batch, Date and Status and click Search
  3. Expand the batch and click the View icon for the week you wish to approve
  4. Click Authorise – in Batch Entry, approvers will only be able to approve all items for the week or decline all items for the week. Managers will be able to edit the week before submission
  5. Click Yes to confirm the authorisation

Settling a Batch (Batch Administrator, Process Administrator and Company Owner only)

  1. Go to Main Navigation > Batch Entry > Summary
  2. Filter by Batch, Date and Status and click Search
  3. Expand the batch and click the View icon for the week you wish to approve
  4. Click Settle – in Batch Entry, approvers will only be able to approve all items for the week or decline all items for the week. Administrators will be able to edit the week before settling the week
  5. Click Yes to confirm the settling of the time

 

Authorise a Batch Timesheet Externally:

Please note, the batch must be assigned for External Approval and a customer must be selected. You will be prompted to confirm the correct email address and will have an opportunity to amend the address when you select 'Authorise'.

  1. Go to Main Navigation > Batch Entry >Summary
  2. Filter by Batch and Date and click Search
  3. Expand the batch and click the View icon
  4. Click Authorise – in Batch Entry, the customer approver will only be able to approve all items, or decline all items
  5. Click Yes to confirm the authorisation
  6. Confirm the customer email shown in the pop-up by clicking Yes again
  7. Click Ok – this will send the list of items to the customer email address

The Customer will receive an email with a link that will take them to a portal where they can view the batch entry timesheets and decide whether to authorise or decline the timesheets.

Please Note, your customer does not need a Clarity365 account to approve batch entries. You must have set up a valid email address that Clarity365 can send an email to, where it can be retrieved and approved by the customer.
