To change your default rates, please use the Administration module, and edit your Default Settings tab.

To change your rates, navigate to the Rates Settings and edit the details as necessary. Click Save to tell Clarity365 that you wish to update your default settings.

To create a new matrix, you first need to make sure you have enabled the charge matrix in your administration settings.

You can then either create a timesheet charge matrix or mileage charge matrix by clicking a link below and following the steps.

If your users cannot see the matrix option when adding a new timesheet or mileage, please check you have enabled the matrix in your company’s administration > default settings.

If your users can still not see the matrix after you have enabled and created them, please contact our support team.

The Departments tab within the Administration module allows you to manage and add departments to your business, and assign employees to their relevant department.

As your business grows, you can add new departments, and assign users to each department, or delete redundant departments as necessary.

Simply edit the details of the department and add or remove employees as necessary. To update your departments, please click Save.

In Clarity365 the threshold feature allows you to control who has control over the authorisation of your users' expenses.

When setup, thresholds allow for managers to authorise or decline all expenses within a certain monetary limit, regardless of department. For example, if you set a manager to the threshold of £10 to £100 that manager would be able to authorise any expense from any user that you have also placed inside that threshold, as long as the user's expense was within £10 and £100.

The manager of the department may also authorise payment for the users within their department. The thresholds are designed to give you more ways to streamline the expense process while limiting the error rate.

Cost Centres break down your business into departments that allow you to see where your investment is being spent and where inefficiencies may be.

In Clarity365 by linking expenses to specific cost centres you are able to monitor your outflow and limit any waste in costs.

Cost centres in Clarity365 are used when you input any expense. You must select the relevant cost centre to submit an expense and therefore just by using Clarity365 you are utilising cost centres.

To set up specific reminders for your Clarity365 Notifications please go to the Notifications tab in the Administration module.

Here you will be able to edit and filter your notification settings to display only the notifications you wish to receive.

The Default Settings will automatically track all notifications for your Clarity365 system.

As your company grows, you may need to upgrade your subscription.

You can do this from the Subscription Settings tab within the Administration Module.

By going on to the Renew/Upgradetab, you can pay your subscriptions using our secure payment process, with either our Monthly or Yearly subscription plans, depending upon your business needs.

You can also view a Payment History to maintain control over your Clarity365 system. 

From the General Ledger codes section, you are able to add custom GL and Sub-GL categories, so that your ledges better reflect your business needs.

Please note that you are unable to delete the default GL codes. However you can choose to use only custom GL codes by going to the Default Settings tab in Administration and deselecting the 'Use Default GL Codes' option.

By deselecting this option, you should only be able to use custom GL codes, created in New GL category/new sub GL category in GL Codes in the Administration Module.
